COVID-19 – A Business Continuity Message from Imagile Professional Services Limited

As a result of the World Health Organisation declaring the Coronavirus (COVID-19) a pandemic last Wednesday, and the latest advice from the Government involving some drastic measures, we are extremely conscious that our clients are facing an unprecedented challenge to the health and safety of their workforce and the wider public, in many cases at the same time as striving to maintain public facilities and services.

As a provider of services to many organisations, we felt it appropriate to outline the Imagile Group Business Continuity Arrangements that are in place in Imagile Professional Services Limited, and to explain the sensible and appropriate steps we’re taking to pro-actively manage the balance of our duty to continuing safe service delivery, whilst protecting the welfare of our staff and those of our supply chain.

First and foremost, please be assured that this situation has been, and continues to be, closely monitored by the executive management group within Imagile to ensure that formalised and proportionate measures are in place. In assessing the position, we are vigilantly monitoring Government advice and, where appropriate, suitably adapting our approach reflecting on Government guidelines.

At present we are following latest Government advice and have initiated a ‘work-from-home where possible’ policy. Staff are avoiding all non-essential contact with others and similarly restricting travel.

Where any of our staff that fall into a ‘Vulnerable Group’ category, the Imagile team is making individual assessments and prescribing bespoke changes to the working arrangements for those employees where appropriate. Where this affects a particular client or project, we will advise on a case-by-case basis of the measures in place.

Our Business Continuity Plans are in force allowing staff to continue to work remotely and enhanced-frequency communication is in place to ensure our staff and supply chain are able to continue to appropriately support our clients.

We are operating a risk-assessed approach, in conjunction with our clients, to continuing important / essential site attendances are calmly and clearly discussed on a project-specific basis with our clients and implementing appropriate control measures to reduce the risk of disease spread.

We recognise that the fast-changing and broad-reaching nature of the pandemic may result in interruption or changes to non-essential site-based works and service delivery. Our team is experienced in managing the processes necessary to ensure that such interruption is handled safely, flexibly and appropriately, and are ready to support our clients and supply chain in doing so.

As we recognise that COVID-19 is an on-going situation, and the consequences of which are likely to be felt for some considerable time, we will continue to make ourselves available to clients and supply chain partners to discuss the challenges to the management of works and services we are all facing, and we will continue to be as flexible as our clients need us to be to do our bit in preventing the spread of COVID-19 and ensuring the health, safety and wellbeing of everyone around us.
